This covers llos.app, the public website of LL Services International, the fund set-up enquiry form on it, the page on which a proposal from us is accepted, and the record we keep of people who write to us or meet us about our services. Clients of LLOS are covered by their own engagement documents.
LL Services International, a fund services firm in Singapore. We are the organisation responsible for the personal data described below.
Questions about this notice, or about the data we hold on you, go to office@ll-hq.com.
On this site, only what you type into the fund set-up enquiry form, and the name and email you give when you accept a proposal online. Nothing on this site collects personal data any other way. What we record when you write to us or meet us is set out below.
The tick box reads: “I agree to LL Services International contacting me about this enquiry.”
Your enquiry is stored outside Singapore. The database it is written to is hosted in Australia, and the other companies below operate from the United States. We transfer it to them so that they can run this site for us, and for no other reason.
For the website and its forms, four companies are involved, and no others:
Each of them processes the data only to run the service. We do not sell your details, we do not share them for anyone else’s marketing, and we do not add you to a mailing list.
Google Analytics is not in use on this site. The code to run it exists but no measurement ID is configured, so no analytics script loads and no analytics cookie is set. If that changes, this page changes with it.
When you exchange emails or meet with us about our services, a person at LL may enter you on our record as an enquiry: your name, your email address, your job title and phone number if you give them, your firm, the type of firm, its jurisdiction and how we would work together (as a client, through a partner, as a referrer or as a partner), with the date. Nothing is entered automatically from our mailbox or calendar. The record states that it was entered by us from that exchange, and that no website consent was given, because none was. We use it for the purposes above, to respond to what you raised with us.
When we enter a firm, we may look it up by name in the public registers, ACRA's company register and the MAS Financial Institutions Directory, and in public web sources for what those registers do not hold. We keep on the same record what they print about the firm: its registration number, incorporation date, registered address, legal form, status, business activities, website and MAS licence, and a contact's name, job title, email or phone if a public source gives one, such as the key person the MAS directory names. Only the firm's name is searched. A person at LL sees every value found, with the source it came from, before the record is saved. A person at LL may also type those details in, with the firm's financial year end, from what you or the firm's own documents told us.
Once you are on our record of a conversation about our services, a person at LL may add to it a line for each call, meeting or email with you: the day, what kind of exchange it was, and a sentence on what it was about. Nothing is copied onto it from our mailbox. For each meeting with you in our calendar we keep its title, time, place, description and the people invited. When we send you a proposal, the people we send it to are added to the same record.
If a meeting with you is recorded, its transcript is kept on our record of the meeting. A third-party text-processing service in the United States is given the transcript to write a summary of it.
When we prepare a proposal for you,a person at LL may give the same service their notes on your firm's needs, so it can suggest which of our services fit. It is not given our fees and suggests none, and a person at LL decides what the proposal covers.
Our email and calendar are provided by Google.
A proposal we send you carries a link to accept it. The page asks for your name and your email address, and records them with the date and time you accepted, so the acceptance is a record and not our recollection. Anyone holding that link can accept the proposal, so do not forward it.
After a conversation with us, a person at LL may email you the same questionnaire from our record of that conversation. It is addressed to you by the name and email we already hold. Nothing you type into it is kept until you tick the same box the website shows, and we record that tick with its date and time. Your answers are then shown to us on our record as you save each step.
If you ask us to find and negotiate with service providers for your fund, such as an administrator, auditor or company secretary, we send the providers we approach your answers about the fund, and nothing about you: not your name, email address or phone number. We keep on our record of the conversation which providers we asked, what each quoted, and which you chose. When we send you the quotations, each line states whether that provider pays us a referral fee.
If you become a client of ours and we set up your workspace in LLOS, your answers and the providers you chose are copied into it, and everyone on your firm's team that we hold an email address for is invited to it.
If you ask for the full questionnaire, or we send it to you, we email you a link to it. That link is a key: anyone holding it can see and change the answers on your enquiry, with no password. It is yours alone, so do not forward it. Tell us at office@ll-hq.com if you think someone else has it and we will retire it.
Until you ask us to stop using it. We do not clear records on a timetable, because an enquiry that does not become a client this year often becomes one the year after.
We do not delete records outright. A record we stop using is marked as removed: it no longer appears on any list or screen we work from, and it is not used to contact you. It is kept, marked that way, as a record of what we held and when, and so that the same email or meeting is not taken in again. If you ask us to stop using your record, that is what we do, and we tell you when it is done.
Under Singapore’s Personal Data Protection Act 2012 you can ask us for a copy of the personal data we hold about you and how we have used it, ask us to correct anything wrong, and withdraw your consent to being contacted at any time. Withdrawing consent stops us contacting you about the enquiry; tell us in the same message if you also want the record marked removed, as described above.
Write to office@ll-hq.com. We will confirm when it is done.
If we start collecting something new, this page says so before we collect it, and the date at the top changes.
